How to use Sessions in CoachNexa

Schedule, log and review every coaching session — with notes, recordings and action items.

Here is how Sessions works in CoachNexa, step by step.

  1. Open Sessions

    Click Sessions in the sidebar. You'll see a list of all sessions sorted by date (upcoming first, then past).

  2. Log a new session

    Click + New Session. Select the client, pick the date and time, set the duration, and optionally choose a session template. Click Save.

  3. Add session notes

    Click on any session row to open the detail panel. In the Notes field, type your session summary, observations and next steps. Notes are private to you.

  4. Mark a session complete

    After a session has happened, open it and change the status from Upcoming to Completed. This updates your session count and revenue reports.

  5. Set up recurring sessions

    When creating a new session, toggle Repeat on. Choose a frequency (Weekly, Bi-weekly, Monthly) and an end date. All occurrences are created at once.

  6. Use session templates

    Click Session Templates in the sidebar to pre-build agendas. When logging a session, pick a template to auto-fill the structure, saving you prep time.

  7. Cancel a session

    Open the session → click Cancel Session. The client is notified by email automatically. Cancelled sessions don't count toward your session metrics.

  8. What your client sees — Client receives a confirmation email

    When you create or confirm a session, the client gets an automatic email with the date, time and meeting link. No manual messaging needed.

  9. What your client sees — Client views upcoming sessions in their portal

    Sessions appear on the client's Sessions page and dashboard. They can see the title, time and meeting link in one place.

  10. What your client sees — Client receives automatic reminders

    Reminder emails are sent 24 hours and 1 hour before each session (configurable in Settings). The client clicks the meeting link directly from the reminder email.

Tip: Write session notes immediately after the call — they're timestamped so you always know when they were written. Tip: Recurring sessions can be edited individually ("just this session") or all at once. Heads-up: Cancelling a session cannot be undone. Use "Reschedule" if you just want to change the time.
