How to use Session Notes in CoachNexa

Capture what happened in every session — private coaching thoughts for you, summaries you can share with clients.

Here is how Session Notes works in CoachNexa, step by step.

  1. Open Session Notes

    Click Session Notes in the sidebar. You'll see notes across all clients, newest first.

  2. Write a note for a session

    Click + New Note. Select the client, link it to a session (optional), and enter a title like 'Session 3 — Goal Review'.

  3. Use Private vs Shared sections

    The Private Note field is only visible to you. The Shared Note field appears in the client's portal so they can review what was covered.

  4. Add action items

    In the structured Action Items section, list the tasks or homework you discussed. These can be converted to Assignments with one click.

  5. Attach files or links

    Click + Attach to add a relevant PDF, worksheet or external link. Clients can access shared attachments from their portal.

  6. Share with the client

    Toggle Share with client on to make the note (and attachments) visible in their portal. Toggle it off for coaching notes you want to keep private.

  7. Review past notes

    Filter notes by client to see a chronological coaching history. Use this to track themes, progress and recurring patterns over time.

  8. What your client sees — Shared note appears in the client's portal

    When you toggle Share with client on, the note becomes visible on the client's Notes page immediately. Only the Shared Note field is visible to them — your private notes stay private.

  9. What your client sees — Client reads the session summary

    The client can open any shared note to read your summary, action items and attached files. This helps them stay accountable and remember what was discussed.

Tip: Write your private note first while the session is fresh — then write the shareable summary for the client. Tip: Action items in notes auto-populate into the Assignments module when you click 'Create Assignment'. Heads-up: Once a note is shared with a client, they can read it immediately — review your wording before toggling Share on.
