Zoom Integration

Connect your Zoom account to auto-generate meeting links for every coaching session.

1. Prerequisites

Before connecting Zoom, make sure you have the following:

  • ✓
    A CoachNexa coach account — any plan. The integration is available to all coaches.
  • ✓
    A Zoom account — free or paid. Each coach connects their own individual Zoom account. Meetings are created under your account with your host controls.
  • ✓
    Zoom app approval (managed accounts only) — if your Zoom account is managed by an organization, a Zoom admin may need to pre-approve the CoachNexa app in the Zoom Marketplace before you can connect.
What CoachNexa does with Zoom access: CoachNexa creates, updates, and deletes Zoom meetings on your behalf when you schedule, reschedule, or cancel coaching sessions. It reads your Zoom email address to confirm which account is connected. It does not access your meeting recordings, contacts, webinars, or any other Zoom data.

2. Adding the app — connect Zoom to CoachNexa

You need a free or paid Zoom account. The integration uses OAuth 2.0 — CoachNexa never sees your Zoom password.

Open Settings in CoachNexa

Log in to your coach account and go to Settings → Integrations.

Click "Connect Zoom"

Find the Zoom card and click the Connect Zoom button. You will be redirected to Zoom's authorization page.

Authorize CoachNexa on Zoom

Sign in to your Zoom account if prompted, then click Allow to grant CoachNexa the following permissions:

  • meeting:write:meeting — create meetings on your behalf
  • meeting:read:meeting — read meeting details
  • meeting:delete:meeting — delete meetings when sessions are cancelled
  • user:read:user — read your Zoom profile (name & email) to confirm connection

Connection confirmed

You are redirected back to CoachNexa. The Zoom card now shows ✓ Connected as your@zoom-email.com. Zoom is ready to use.

3. Using Zoom meetings in sessions

Once connected, creating a Zoom meeting is automatic — no extra steps required.

Schedule a session

Go to Sessions → Schedule Session. Fill in the title, client, and date/time.

Select "Zoom" as the provider

In the Meeting Provider dropdown, choose 🎥 Zoom. Because your account is connected, the meeting link field is hidden — CoachNexa will generate it automatically.

Click "Schedule Session"

CoachNexa creates the session and immediately calls the Zoom API to create a meeting. The join URL, host start URL, and password are saved to the session automatically.

View the session

The session card on the Sessions page shows a 🎥 Zoom ✓ badge. The "Join meeting →" link is the client join URL. The host start URL is visible in the session detail panel.

4. What the client receives

When a session is scheduled, CoachNexa automatically sends the client a confirmation email containing:

  • Session title, date, time, and coach name.
  • A Join Meeting button linking directly to the Zoom join URL.
  • A session.ics calendar attachment — clicking it adds the session to Google Calendar, Outlook, or Apple Calendar with the Zoom link pre-filled as the meeting location.

Clients do not need a Zoom account. They join via the link in the browser or the Zoom app.

5. Rescheduling & updating meetings

If you edit a session's date, time, or duration, CoachNexa automatically calls the Zoom API to update the meeting accordingly. The join URL and meeting ID remain the same — no new link is needed.

  • Editing a Zoom session → Zoom meeting time is updated automatically.
  • Changing provider away from Zoom → the Zoom meeting is deleted automatically.
  • Deleting or cancelling a session → the Zoom meeting is deleted automatically.

Note: CoachNexa does not resend the confirmation email on reschedule. Send the client a manual reminder via the 📲 Remind WhatsApp button on the session card if needed.

6. Removing the app — disconnect Zoom

You can disconnect Zoom at any time. This does not delete any past sessions or their stored meeting links.

Go to Settings → Integrations

In your coach account, navigate to Settings → Integrations.

Click "Disconnect" on the Zoom card

A confirmation prompt appears. Click OK to confirm. CoachNexa removes your stored Zoom access token immediately.

Revoke access in Zoom (optional)

To fully revoke access from Zoom's side: log in to zoom.us → Profile → Connected Apps → find CoachNexa → click Remove.

After disconnecting: New sessions can still be scheduled — the Zoom meeting link field will be shown as a manual entry field so you can paste a link yourself. Existing session records keep their stored Zoom links.

7. Data usage & permissions

CoachNexa requests the minimum permissions necessary to operate the integration:

meeting:delete:meeting Delete the Zoom meeting when a session is cancelled or deleted
user:read:user Read your Zoom email address to confirm which account is connected

CoachNexa stores your Zoom OAuth access token and refresh token securely in an encrypted database, associated only with your workspace. Tokens are never shared with other coaches or third parties. See our Privacy Policy for full details.

8. Data deletion

CoachNexa stores only the OAuth tokens necessary to operate the integration (access token, refresh token, your Zoom email address, and Zoom user ID). No meeting content, recordings, chat messages, or participant data are ever stored by CoachNexa.

When you disconnect Zoom

Your OAuth tokens are immediately deleted from CoachNexa's database. Previously created Zoom meetings and their stored join URLs remain in your session records for reference but CoachNexa can no longer make API calls on your behalf.

When you delete your CoachNexa account

All data associated with your account — including stored Zoom tokens — is permanently deleted within 30 days of account closure. To request immediate deletion, email hello@coachnexa.com.

Revoking access from Zoom's side

To revoke CoachNexa's access directly from your Zoom account: log in to zoom.us → Profile → Connected Apps → find CoachNexa → click Remove. This immediately invalidates CoachNexa's stored tokens.

9. FAQ & troubleshooting

Does my client need a Zoom account?

No. Clients join via the link sent in their confirmation email. They can join in a browser or via the free Zoom app without signing in.

I scheduled a Zoom session but no meeting link appeared.

This usually means the Zoom API call failed silently. Check that your Zoom account is still connected under Settings → Integrations. If the connection shows as active, try editing the session and saving again — CoachNexa will attempt to create the meeting on update.

My Zoom access token expired. What happens?

CoachNexa automatically refreshes the access token using the stored refresh token before every API call. You should not need to reconnect unless you manually revoke access from Zoom's app settings or the refresh token also expires (rare).

Can I use my Personal Meeting ID (PMI) instead of a generated meeting?

CoachNexa always creates unique per-session meetings (not PMI) to keep each session separate and secure. If you prefer your PMI, disconnect Zoom and paste the PMI link manually when scheduling.

I see a "Zoom API 401" error in my session.

Your Zoom token has been revoked. Go to Settings → Integrations, disconnect Zoom, and reconnect. The session was saved successfully — only the meeting link is missing.

Does CoachNexa record my Zoom meetings?

No. Meetings are created with auto_recording: none. Recordings are entirely under your control within the Zoom app.
